Understanding the Advocacy Admin Role

The Advocacy Admin role is for team members who manage employee advocacy programs without needing full platform access. Users with this role focus on advocacy boards, advocate content, and related reporting. The role uses a separate license pool from standard platform users.

What Can an Advocacy Admin Do?

Users with the Advocacy Admin role can:

  • Access the Advocacy module to manage boards, stories, messages, and advocates
  • Work with Campaigns & Assets and Social BI according to their role permissions
  • Use selected Settings areas such as Campaign & Assets, Reporting, Tracking, Compliance, and Archives

Advocacy Admin is a platform user role assigned in Settings > User Management > Users. It is not the same as advocate roles on the board (Advocate, Contributor, Champion). For board-side roles, see Advocate Roles and Permissions.

What Advocacy Admins See When They Sign In

When an Advocacy Admin signs in, the sidebar focuses on advocacy-related modules, typically Advocacy, Campaigns & Assets, and Social BI. The exact modules depend on your account license.

In Settings, Advocacy Admins see a limited set of sections compared with Owner or Admin users. They do not see User Management, so they cannot invite users or edit roles.

Access Limitations

  • Advocacy Admins cannot access Publishing, Inbox, Listening, or full account administration unless their role permissions explicitly allow it
  • They cannot manage platform users, roles, or teams in User Management
  • Labs and API are hidden from My Profile for this role
  • On advocacy-focused accounts, some built-in roles and settings may be hidden because they do not apply to the license

Account Owners retain responsibility for account-level settings such as password policy, SSO, and billing.

Role Availability and Licensing

  • The Advocacy Admin role appears only on accounts with the Advocacy Admin add-on
  • Each account has a separate seat limit for Advocacy Admin users
  • If the limit is reached, the role is grayed out when assigning it to new users, with a tooltip explaining that the limit was reached
  • To increase the limit, deactivate an existing Advocacy Admin user or reach out to your account manager

Assigning the Advocacy Admin Role

  1. Open Settings from your profile menu, then go to User Management > Users.
  2. Click New User, or open an existing user to edit them.
  3. Select Advocacy Admin from the Role dropdown.
  4. Click Send or Save.

New Advocacy Admins receive a tailored invitation email describing their advocacy-focused responsibilities.
